This Privacy Policy explains how we collect, use, share, and protect your data when you use our services (the "Services"), including features for project and client management, time tracking, meeting scheduling, agreement templates, invoicing, productivity analytics, lead tracking, and cold outreach.

By using Freelens Flow, you agree to the practices described in this policy. If you do not agree, please do not use our Services. We may update this policy from time to time, and changes will be posted here with the updated effective date. Your continued use of the Services constitutes acceptance of the revised policy.

Usage Data: Details about how you interact with Freelens Flow, such as projects created, clients managed, meetings scheduled, agreements drafted, invoices sent, time tracked, productivity metrics, leads tracked, and cold outreach activities.

Device and Log Data: IP address, browser type, device identifiers, operating system, access times, and pages viewed.

Cookies and Similar Technologies: We use cookies to enhance functionality, track usage, and improve performance.

Third-Party Data: Information from integrated services, such as Google/Zoom for meetings, Resend for emails, Stripe for payments, and Firebase for storage.

We do not collect sensitive personal information (e.g., racial or ethnic origin, political opinions, religious beliefs, or health data) unless voluntarily provided by you.

2. How We Collect Information

Directly from You: When you create an account, input data (e.g., client details, leads), or contact support.

Automatically: Through cookies, web beacons, and server logs as you navigate the platform.

From Third Parties: From service providers like Resend (for email tracking), Stripe (for billing), Firebase (for data storage), and Google/Zoom (for meeting integration).

3. How We Use Your Information

We use your information to:

• Provide and maintain the Services, including managing projects, clients, meetings, agreements, invoicing, productivity analytics, lead tracking, and cold outreach
• Process transactions and payments (via Stripe)
• Send service-related communications, such as confirmations, updates, or reminders (via Resend)
• Analyze usage to improve the platform (e.g., productivity trends)
• Personalize your experience, such as suggesting agreement templates based on your niche
• Comply with legal obligations and prevent fraud
• With your consent, send marketing communications (e.g., feature updates)

Our legal bases for processing include your consent, contract performance, legitimate interests (e.g., improving Services), and legal compliance.

4. Sharing Your Information

We do not sell your personal information. We share data only as necessary:

Service Providers: With third parties like Resend (emails), Stripe (payments), Firebase (storage), Google/Zoom (meetings) to enable features.

Business Transfers: In case of merger, acquisition, or asset sale.

Legal Requirements: To comply with laws, respond to subpoenas, or protect rights (e.g., fraud prevention).

Aggregated Data: Anonymized data for analytics or research (no personal identifiers).

All partners are bound by confidentiality and data protection agreements compliant with GDPR and CCPA.

We use cookies and similar technologies to authenticate users, prevent fraud, analyze performance and usage, and enhance functionality. Types include essential cookies (required for core features), analytics cookies (track usage), and marketing cookies (for targeted ads, if applicable, with consent). We prioritize security through encryption (TLS for data in transit, AES for storage), access controls, and regular audits. Third-party providers (Resend, Stripe, Firebase) meet high security standards (e.g., SOC 2 compliance). However, no system is 100% secure. We commit to prompt notification of breaches per GDPR (72 hours) and CCPA requirements.

If you're in the EU/UK, your data may be transferred to servers in the US (e.g., Firebase, Stripe). We use Standard Contractual Clauses (SCCs) and Data Processing Agreements to ensure GDPR compliance.

8. Data Retention

We retain your data as long as needed for the Services (e.g., account data until deletion). Inactive accounts are deleted after 12 months. Aggregated data may be kept longer for analytics. You can request deletion at any time.
