Freelance Proposal Template + Example That Wins Projects

Most proposals lose because they talk about the freelancer. This template starts with the client's problem and ends with three options to choose from.

Freelens Flow Team

A proposal is not a CV. The client does not care how many years of experience you have until they believe you understand their problem. The best proposals prove that in the first paragraph, make the scope impossible to misread, and make saying yes easy.

The structure of a winning proposal

  1. 1The client's situation: what is happening now and why it costs them.
  2. 2The goal: what success looks like, in their words.
  3. 3Your approach: how you will get there, in a few clear steps.
  4. 4Deliverables: a specific list, not "website design".
  5. 5Timeline: milestones with dates.
  6. 6Investment: ideally three options.
  7. 7Proof: one or two relevant results or testimonials.
  8. 8Terms and next step: payment schedule and exactly how to accept.

Open with their problem, not your credentials

Compare these two openings:

Weak openingStrong opening
"I'm a web designer with 6 years of experience and a passion for clean design.""Your site takes 6 seconds to load on mobile and the booking button is below the fold, so most visitors from Instagram leave before they can book."

The second one proves you did your homework. It also sets up your price: you are solving lost bookings, not "making a website".

Offer three pricing options

A single price invites a yes-or-no decision. Three options turn it into "which one?", and the client's choice tells you their budget without an awkward conversation. Many buyers pick the middle option. Make the tiers differ in scope, never in quality.

How long should a proposal be?

Match the format to the situation. A bid on a freelance marketplace should be short: a few focused paragraphs on the client's problem and one relevant example. A full proposal for a project you discussed on a call typically runs two to five pages, enough to answer every question the client would ask before signing, without becoming a chore to read.

Follow up (most freelancers do not)

Proposal follow-up (3 days later)
Hi [Name],

Just checking whether you had a chance to look at the proposal for [project]. Happy to jump on a quick call if anything needs adjusting, whether that's scope, timeline, or budget.

I'm holding [start date] open for this project until [date].

[Your name]

A soft deadline ("I'm holding this start date until Friday") gives the client a reason to decide. Once they say yes, move fast: send the agreement and deposit invoice within 48 hours. Need help with the agreement? Use our graphic design or video editing contract templates.

Frequently asked questions

Should I include multiple pricing options in a proposal?

Yes. Three options that differ in scope turn a yes-or-no decision into a choice, reveal the client's budget, and often lead clients to pick the middle option.
